Booking Information

Terms and Conditions

Booking a presentation, workshop or private event

To book one of our workshops, presentations or parties for your function or event, please call 07375 565444 or 07740 041481 or email us at info@spiritofthewild.biz. We will be more than happy to tell you all about how we do them and answer any questions you may have too. You can make a provisional booking which we will hold for one working day. Once you have confirmed your booking, we need you to fill in the booking form which we will send to you. We ask respectfully that your completed form be sent back to us within three days of making your booking. The information that is requested on the form is mandatory so that there can be no confusion regarding your booking, and is not passed on to any third parties. On receipt of the form, we will then send a confirmation and invoice to you.

Venue

All of our shows have to be carried out indoors except on prior arrangement, as being outdoors may affect the animals we can bring. If you would like us to be situated outdoors, we need to be inside a gazebo or a marquee - somewhere that has a roof and three sides where we can keep the travelling cases out of direct sunlight. We also need an indoor area available in case the good old British weather is too cold for the animals - their welfare is are our primary concern.

In most cases we do not use microphones.

We put a floor covering down which is around 3m x 2m, the children will sit either in front of or in a semi-circle around this. Behind the floor covering we 'grow' our rainforest screens, which will have the travelling cases behind. The only thing we ask to be provided is three classroom or dinning room style chairs.

To comply with our health and safety guidelines, there must be hand washing facilities available. We do stress the importance of hand washing after handling animals, and the audiences are always given clear instructions at the beginning and end of each presentation or party. Don't be worried by that, all the animals are kept in exceptionally clean environments, we just have to comply with Heath and Safety guidelines.

It is imperative that car parking is available for us either on site or in close proximity. If parking is not available, we may not be able to carry out your booking. If the area of the venue is regularly congested with parked cars or if parking is by meter, we suggest a car be positioned to reserve a space. If there are parking restrictions, a voucher must be provided by the client. Meters will be paid for by us. In some cases for central London, meters may only allow parking for two hours. This negates that only a 1 hour booking may be possible unless alternative parking arrangements can be made.

In all cases we aim to arrive in the area of a venue around 45 minutes before our set-up time to allow for any traffic problems. We regret that if parking is not secured, we cannot guarantee completion of the booking. In this situation we shall not be held liable and the full cost of the booking must be honoured by the client.

Handling Animals Safely

We take the health and welfare of our animals and clients very seriously. Therefore, we do not put our animals into stressful situations where there may be excessive noise or possible harm to them. We also ask that where there are young children and toddlers present, that adults assist with hand washing. Hand gels are good but no real substitute for soap and warm water. Children should be dissuaded from putting their fingers in their mouths and food should not be available to children during our talks or parties until the appropriate time.

Payment

All private bookings must be secured by a 50% deposit payable by online bank transfer or cheque on receipt of the invoice. The balance paid in cash at the event, or by online bank transfer on the day, prior to the event starting. We regret that we are unable to accept cheques for private events. For educational establishments, corporate events and official groups such as Scouts and Guides etc. payment can be made by cheque ten days in advance or BACS by the day of the event. An invoice will be sent when we receive your booking form so that it may be forwarded to the finance department in plenty of time to be processed to fulfill this requirement. Due to the costs we have to pay to bank cheques, we regrettably have to make a £10 charge on top of the rate for the booking if this option is required. We do not give credit to any individual, company or establishment. ​

Contracts

The contract for the event is held between the client and Spirit of the Wild.

The photographs of our animals used in the promotion of different presentations and events we do does not guarantee the specific species' that will be present on the day. We reserve the right to change or alter any part of our presentations at any time to accommodate the welfare of our animals.

Cancellation by the client within two weeks of the booking will incur a 100% charge for the booking unless there are extenuating circumstances. In this instance we would prefer an alternative date to be arranged instead of the booking being totally cancelled.

Although we allow a very generous amount of travelling time for potential delays, in the unlikely event that we encounter a delay whilst en-route, we will contact the client immediately to inform of the situation. A booking may not be cancelled by a client as the result of a delay where the engagement will still be possible. If a show is not possible due to non-liability of Spirit of the Wild, an alternative date will be arranged.

Any substitute date must be booked within three months of the original date.

Information for agencies

For events booked via agencies, we will only give out marketing literature given to us by the agency.

Privacy Policy and GDPR

We take certain information during the booking process in order to plan and carry out bookings - for example we need to know where we are going and the age group so that we can deliver content in our presentations, workshops and parties that is relevant for the audience. We also need certain details with regard to billing. NONE of the information that we take is shared with third parties and is stored securely and not accessible to anyone else except Hannah Coote and Ben Pugh.

 

Website

We don't take any personal information through our website. All information taken by cookies is anonymous and only used for the development of the website and to see how it is performing, for example how many times particular pages have been clicked on. Our website is hosted by Wix, who are GDPR compliant, and any apps that will be added to the site in the future will be too.

Direct Marketing
From time to time, usually a maximum of four times per year, we email schools and other areas in which we work to advertise our services. This comes under the government guidelines for “legitimate interest” and is done purely to make potential customers aware of our service and is necessary for us to operate. We do not “bombard” potential customers with marketing emails. If after first contact a potential customer does not wish any to receive any further emails, we will, of course, remove that email address from our database. Any person or organisation which we contact can opt out and be removed from any email list immediately by contacting us at info@spiritofthewild.biz. We only contact potential customers by email or post.

 

We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
